ResiSites Privacy Policy
This policy explains how ResiSites handles personal information on this website and in the platform we provide to property management companies.

1. Scope of this policy
This policy covers this website and the ResiSites platform we provide to property management companies.
It does not cover the individual community websites, resident portals, and corporate sites we host for a management company. Those are run by that company under its own brand and its own privacy notice, and the company, not ResiSites, decides what happens to the information collected there.
2. Information you give us
- Contact details: your name, work email, phone number, company, and portfolio size when you request a demo, contact sales, or create an account.
- Account and billing details: your login, role, and plan information. Card and bank details go to our payment processor, and we do not store full card numbers.
- Content you put in the platform: property information, photos, floor plans, pricing, announcements, team profiles, lead notes, and maintenance requests.
- Anything you send us directly: support tickets, survey answers, and product feedback.
3. Information collected automatically
When you use the website or platform we record your IP address, device, browser and operating system, the pages you view, the referring page, and approximate location derived from IP address. We also keep security and audit logs of activity in your account, such as sign-ins and changes to properties.
We use cookies and similar technologies for this, as described in section 5.
4. Information about prospects and residents
Prospect inquiries, tour requests, and maintenance requests submitted through a site we host for a management company belong to that company. It is the controller of that information, ResiSites processes it on the company's instructions, and we do not use it for our own marketing.
If you submitted a request through a community website and want to access, correct, or delete it, contact that community or its management company first, since they control the record. If you reach out to us instead, we will pass your request to them.
5. Cookies and analytics
We use essential cookies to keep you signed in, protect your session, and remember your preferences. We use analytics cookies to understand which pages are used and how the product performs, so we can improve it.
You can block or delete cookies in your browser settings, though parts of the platform such as signing in will not work without the essential ones. We do not use cookies to sell your information or to follow you around other companies' websites.
6. How we use information
- Provide, host, secure, and support the platform, and set up your websites and onboarding.
- Respond to your demo requests, questions, and support tickets.
- Process payments and manage subscriptions.
- Send service messages about billing, security, and changes to the platform.
- Send marketing about ResiSites features and offers, which you can opt out of at any time.
- Monitor performance, troubleshoot, and improve the product.
- Detect and prevent fraud, abuse, and security incidents.
- Comply with the law and enforce our agreements.
7. Why we are allowed to use it
Where privacy law requires a legal basis, we rely on performing our contract with you to run the platform, our legitimate interests in securing and improving it and in marketing to business contacts, your consent where we ask for it such as optional analytics or marketing, and our legal obligations including tax, accounting, and lawful requests.
8. When we share information
We share personal information with service providers who help us run ResiSites, including hosting, databases, email delivery, payment processing, analytics, and mapping, under contracts that limit them to our instructions. We also share it with the management company whose portfolio you belong to, since its administrators can see the users and data on its account, with professional advisers, in a merger or acquisition, when the law requires it, and with your direction or consent.
We do not sell personal information.
9. How long we keep it
We keep account information while your subscription is active. After termination, the data in your account is available to export for 30 days and is then deleted or de-identified, except for records we must keep for legal, tax, security, or dispute-resolution purposes. Logs and backups are kept for a limited period on a rolling basis, and aggregated, de-identified statistics may be kept indefinitely.
10. Security
We protect information with encryption in transit, access controls and least-privilege permissions for our staff, monitoring, and review of the vendors we use. No system is completely secure and no method of transmission or storage is guaranteed. Use strong credentials, invite only the users you intend, and deactivate accounts when people leave. If we learn of a breach affecting your information, we will notify you and the authorities as the law requires.
11. Your rights and choices
Depending on where you live, you may have the right to access the personal information we hold about you, correct it, delete it, receive a portable copy, object to or restrict certain processing, and withdraw consent you previously gave. You can also opt out of marketing email at any time using the unsubscribe link, though we will still send service messages about your account.
To make a request, use the contact page on this site or email us at sales@resisites.com. We verify your identity before acting, and we will not discriminate against you for exercising these rights. If your request concerns a prospect or resident record, see section 4: the management company controls it, and we will forward your request to them.
12. Children's privacy
ResiSites is a business tool, is not directed to children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, contact us and we will delete it.
13. Where we process information
We are based in the United States and process information there. If you use ResiSites from another country, the information you give us is transferred to and processed in the United States and in other countries where our service providers operate. Where the law requires it, we use appropriate safeguards for those transfers.
14. Changes to this policy
We may update this policy. When we do, we post the new version with a new last updated date, and if a change is material we give reasonable notice before it takes effect.
